Power BI Workday integration with privacy built in
Power BI Workday integration brings headcount, hires and leavers into a model that HR and finance can both read. Microsoft's connector list has no Workday entry, so there is no built-in connector to describe. Instead, a Workday administrator can expose a custom report as a web service, and Power BI reads that address. Scheduled exports and a staging database are the other routes.
- Reports as web services
- Row-level security
- Least-access account

How does Power BI Workday integration reach HR data?
Workday lets an administrator enable a custom report as a web service. The report then has an address that returns its rows as JSON or CSV. So Power BI can call that address with the Web connector and import the result.
This route keeps logic in Workday. The report author there decides the fields, the filters and the security. Therefore Power BI receives only what the report exposes, which suits sensitive data.
Large reports can time out, however. In that case we split them by date range or move to a staging database. A scheduled export to a secure folder also works, though it adds a file step that someone must watch.

Privacy decisions to make before any build
People data carries more risk than sales data, so these come first.
Which fields leave Workday
We ask for the smallest set that answers the questions. For example, age bands often serve better than birth dates.
Who sees which rows
Row-level security in the model limits each manager to their own area. We test it with real accounts.
How small groups appear
A count of one can reveal a person. So we agree a rule for hiding or grouping small numbers.
Why is headcount harder than it looks?
Headcount sounds like a simple count. But the answer depends on the date, on who counts as a worker and on how transfers appear. Finance and HR often hold different numbers for the same month.
So we define it with both teams in the room. First we agree the worker types to include. Then we agree how to treat leave, contractors and future-dated hires. After that, one measure serves everyone.
Trends need effective-dated data. For example, a snapshot of today cannot show last year's organization. Therefore we either load history from Workday or store a snapshot each month, so past periods stay stable. Also, a reorganization then shows up as a clear break instead of rewriting every earlier month.
Questions a Power BI Workday integration can answer
HR leaders usually begin with these six.
- Headcount by organization and month
- Hires and leavers over time
- Turnover by tenure band
- Open positions against plan
- Span of control by manager level
- Time to fill by job family
How we run a Power BI Workday integration project
Four stages, with a demo each week, keep HR and IT aligned.
Agree definitions
First we settle headcount, turnover and tenure rules with HR and finance, since the model depends on them.
Specify the reports
Then we list the fields each Workday report must return. The written quote fixes those reports and the pages.
Build and secure
We build the model in your own tenant, add row-level security and test every role before release.
Transfer and document
Finally, your HR systems team receives the design notes, so they can extend the reports without us.
Questions about Workday data in Power BI
Does Power BI have a native Workday connector?
We find no Workday entry in Microsoft's Power Query connector list. So we do not describe one. The common route is a Workday custom report exposed as a web service, which the Web connector reads. Exports and a staging database are alternatives. We confirm the options with your Workday administrator first.
Is it safe to put HR data in Power BI?
It can be, with care. The data stays inside your own Microsoft tenant, under your policies. We limit the fields, apply row-level security and keep workspaces small. Also, sensitivity labels and audit logs help, where your license includes them. Your security team reviews the design before anything goes live.
What account should the connection use?
It should use a dedicated integration account in Workday with access to the reporting fields only. Because the account belongs to no single person, staff changes do not break refresh. Your Workday administrator creates it and owns the password. We never ask for a personal login.
Can Workday data combine with finance data in Power BI?
Yes. Cost centers and organizations usually provide the link. Then headcount sits beside budget and payroll cost in one model. However, the two systems often code departments differently. So we build a mapping table early and agree who maintains it after the project ends.
How do we engage Power BI Agency?
Call (480) 485-7373 or write, and we answer within 2 hours. The first step is a free 30-minute assessment with one of our consultants. Power BI Agency is a division of Sataware Technologies. We are independent of Microsoft and of Workday, and we deliver online.
