Power BI administration services that keep your tenant in order
Power BI administration services take care of the settings and routines that keep a Power BI tenant safe, tidy and available. That includes tenant settings, workspace access, gateways, capacity and the activity log. Power BI Agency handles these tasks inside your own Microsoft tenant with the role you grant, records every change and reviews the state of things with you each week.
- Settings reviewed and recorded
- Access kept under control
- Every change logged

What do Power BI administration services take off your desk?
Administration is the quiet work behind every report. Someone decides who may create workspaces, who may share outside the company and which features stay switched off. Those choices live in the admin portal as tenant settings.
Microsoft assigns this work to the Fabric administrator role. In many companies, however, that role lands on an IT generalist with little time for it. So defaults stay in place long after the tenant has outgrown them.
An outside administrator fills that gap. First we review the current settings. Then we agree a target state with you and keep the tenant there, week after week. The scope here is settings, workspaces and access. By contrast, Power BI monitoring services watch refresh and capacity, and Power BI support services fix faults on request. Power BI managed services then combine all of these under one retainer.

Six Power BI administration tasks we handle
Each task has an owner on our side and a record of what changed.
Tenant settings
We review each setting group and document why it is on, off or limited to a security group.
Workspace access
Roles get a regular check, so former staff and stale guests do not keep access.
Gateway upkeep
On-premises data gateways need updates and monitoring. Otherwise refresh fails at the worst moment.
Capacity watch
When you run a capacity, we track its load and flag the models that strain it.
Activity review
The activity log shows who viewed, shared and exported. Therefore odd patterns surface early.
Content lifecycle
Unused reports and orphaned models go on a list, and then you decide what to retire.
Why does Power BI administration get neglected?
Reports are visible, while settings are not. A new dashboard earns praise, but nobody notices a well-kept access list. As a result, admin work slips behind build work in most teams.
The cost appears later. For example, a share link reaches the wrong audience, or a gateway fails during month-end. At that point the fix is urgent, and urgent fixes cost more than routine care.
There is also a knowledge gap. The admin portal holds many settings, and Microsoft adds to them as features arrive. Because we track those changes closely, we can tell you which ones need a decision. The same audit data can also feed a Power BI cybersecurity dashboard for your security team.
Signs that Power BI administration services would help
A tenant that shows several of these signs needs a regular owner.
- Nobody has reviewed tenant settings lately
- Anyone can create a workspace
- Guest users have never had a review
- Gateway updates happen only after a failure
- No one reads the activity log
- Personal workspaces hold business reports
How our Power BI administration services begin
We take over in four stages, and nothing changes until you approve the target state.
Assessment call
A free thirty minute call covers your tenant size, your worries and the access we would need.
Baseline review
We then record every relevant setting as it stands, so there is a clear starting point.
Agreed target state
You approve a written list of changes. After that we apply them in small, reversible steps.
Routine administration
Finally, scheduled checks keep the tenant in line, and a weekly summary reports what we did.
Power BI administration questions from IT leads
What access do Power BI administration tasks require?
Most tasks need the Fabric administrator role or a narrower set of permissions that you assign. We ask only for what the agreed scope requires. Because the account belongs to your tenant, you can remove it at any time. Every change we make also goes into a log that your team can read.
Can Power BI administration run alongside our own IT team?
Yes, and that is the usual setup. Your IT team keeps identity, devices and security policy. We look after the Power BI side and raise anything that crosses into their area. So both teams know where the line sits, and the written scope describes it.
Do you make decisions about our tenant settings?
No. We recommend, and you decide. For each setting we explain what it does, what the risk is and what we suggest. Then a named person on your side approves the change. Since policy belongs to your company, we never alter a tenant-wide setting on our own judgment.
Is license management part of administration?
We can review who holds which license and flag ones that look unused. However, we do not resell licenses, and we do not buy them for you. Purchases go through Microsoft or your reseller. For the terms of each license type, we point to Microsoft's current documentation.
Who provides the service, and how do we reach you?
Power BI Agency provides it. We are a small team, a division of Sataware Technologies and independent of Microsoft. We deliver the service online, in your admin portal and tenant settings, with the access you grant. Call (480) 485-7373 or send the form, and we reply within 2 hours.
