Power BI managed services that prevent problems early
Power BI managed services place the routine care of your reporting platform with an outside team. That care covers monitoring refresh, watching capacity, managing access, releasing changes and reviewing usage each month. One of our consultants runs those tasks inside your own tenant, so problems get caught before users report them, and your analysts keep their time for analysis.
- Proactive monitoring
- Monthly written review
- Your tenant, your control

What do Power BI managed services include?
A reporting platform needs steady attention, much like any other system. Refresh jobs run every night. Capacity fills up as models grow. People join, move and leave, and their access has to follow.
In many companies nobody owns these chores. Each one falls to whoever notices a problem first. So issues surface only when a manager opens a report and finds stale numbers.
A managed arrangement changes the order of events. We watch the platform on a schedule and act on warnings. For example, a refresh that slows down week after week gets attention before it starts to fail. As a result, most problems never reach your readers. For example, a Power BI attendance dashboard that staff open each morning stays current without anyone checking it by hand.

Tasks Power BI managed care takes off your team
The written scope lists which of these six areas you hand over.
Refresh monitoring
We review refresh history on working days and investigate failures, so yesterday's error does not become next week's habit.
Capacity watch
Usage metrics show which models consume the most. We flag trends early, because a full capacity slows everyone.
Access administration
Requests for access run through security groups. Then a quarterly check removes people who no longer need it.
Release handling
Changes move through test before production. One named person approves each release, and we keep the record.
Gateway upkeep
Gateway versions and credentials stay current. We also plan updates with your IT team to avoid busy hours.
Usage reporting
Each month you see which reports people open and which they ignore, so effort goes where readers are.
How is a managed arrangement different from ad hoc help?
Ad hoc help is reactive. Something breaks, you call, and someone fixes it. That is how Power BI support services work, and it suits small setups. However, each call starts from zero, since the helper has to relearn your environment.
A managed arrangement is proactive instead. The team already knows your models, schedules and owners. It also follows a calendar of checks, so nothing depends on a user raising the alarm. Under one retainer, Power BI monitoring services and Power BI administration services run as a single routine instead of two contracts.
There is a planning benefit too. Because we check the platform every week, we can warn you about what is coming. For example, a model nearing a size limit or a feature that Microsoft plans to retire can go on the agenda well ahead of time.
When Power BI managed services fit best
The arrangement suits companies that recognize several of these points.
- Reporting matters but has no clear owner
- The platform admin has another full job
- Capacity costs rise without explanation
- Access reviews never quite happen
- Releases sometimes break live reports
- Leaders want a monthly health summary
How our Power BI managed services begin
Onboarding follows four steps, and the routine starts only when you approve the scope.
Assessment call
First we spend thirty minutes on how your platform runs today. The call is free and carries no obligation.
Baseline review
Then we inspect workspaces, schedules, gateways and access, so the arrangement starts from known facts.
Agreed scope
A written quote lists the tasks we take on, how you reach us and what remains with your own team.
Routine and review
After that the checks run on schedule. Each month a short written review covers events, fixes and advice.
Questions about handing over platform care
Do we lose control with Power BI managed services?
No. Everything stays inside your own Microsoft tenant, and your administrators keep their rights. We work through accounts you grant and can withdraw at any time. In addition, every change we make goes into a log that you can read. So the arrangement adds hands without taking away any control.
Is this the same as your Power BI support service?
Not quite. Support responds to requests as they arise, such as a failed refresh or a change to a report. The managed arrangement adds scheduled monitoring, administration and a monthly review on top. A common path is to start with support and widen the scope later, once the recurring effort is clear.
Can you manage a Power BI service tenant that includes Fabric items?
Yes. Fabric uses the same admin portal, capacities and workspaces, so the same routines apply. However, lakehouses, pipelines and notebooks add their own monitoring needs. We therefore agree in the written scope which item types the arrangement covers, and we extend it when your use of Fabric grows.
Who will look after our platform?
Our consultants do the work. We are a small team, a division of Sataware Technologies, and independent of Microsoft. You deal with named people who know your setup, not a rotating help desk. We reply within 2 hours, and you can also call (480) 485-7373 during business hours.
Do you sell licenses as part of managed care?
No. We do not resell licenses or capacity. You keep your agreement with Microsoft or your current reseller. That separation matters, because our monthly advice on sizing then has no sales interest behind it. If usage data shows you could run on less, we will say so in the review.
