Power Query consulting for queries that refresh without drama
Power Query consulting helps a team fix and improve the queries that load and shape data for Power BI and Excel. A consultant reviews the applied steps, the M code and how well each query folds back to its source. Power BI Agency does this work inside your own Microsoft tenant, agrees the list of queries in writing and explains each change at a weekly demo.
- Faster, steadier refresh
- Readable query steps
- Logic defined once

What does Power Query consulting fix?
Power Query is the data preparation engine inside Power BI, Excel and dataflows. Each query is a list of steps: connect, filter, rename, merge and so on. Behind the buttons, those steps become code in a language called M.
The tool is friendly, and that is also its trap. A person can click their way to a working query without seeing what it costs. Then the data grows, and a refresh that took a minute takes an hour.
A consultant reads those steps with a trained eye. For example, one early step may block the source from doing the heavy work. So a small reorder can change refresh time a great deal.

Six common Power Query problems
Most slow or fragile queries suffer from one of these.
Broken folding
A step stops the source database from filtering rows, so every row travels before the filter applies.
Late filters
Filters sit at the end. However, placed first, they shrink the data before costly steps run.
Hard-coded names
A query refers to a column or file by a fixed name. Then a small rename breaks the refresh.
Repeated logic
Ten queries each clean dates the same way. A shared function does it once instead.
Costly merges
Large merges in the query editor strain memory, while a relationship in the model is often lighter.
No error handling
One bad cell fails the load. Therefore we add steps that catch and report such rows.
What is query folding, and why does it matter?
Query folding is the engine's ability to turn your steps into one query that the source runs itself. When a filter folds, the database returns only the rows you need. As a result, less data moves and refresh finishes sooner.
Not every source or step supports it. Databases usually do, while flat files do not. Some transformations also stop folding from that point on. Microsoft documents which indicators in the editor show the folding state.
Folding also underpins incremental refresh. Without it, the service may still read the full table each time. So we check folding early, since later design choices depend on it. For example, a Power BI headcount report built from monthly HR files depends on a clean append step.
When Power Query consulting is worth a call
These signs suggest the queries, not the model, are holding you back.
- Refresh time keeps creeping up
- Loads fail after a source adds a column
- Nobody dares edit the oldest queries
- The same cleanup appears in many files
- Excel workbooks freeze while loading
- Incremental refresh gave no speed gain
How our Power Query consulting engagement runs
A review and fix follows four stages.
Assessment call
A free thirty minute call looks at one problem query, and then we say what we would examine.
Query review
We read every step in scope, note where folding stops and rank the fixes by effect.
Rework and demo
Changes go in one at a time. Each week we show before and after refresh results.
Handover notes
Finally, your team receives notes on each change, so the reasons stay with you.
Power Query consulting questions and answers
Does Power Query consulting cover Excel as well as Power BI?
Yes. The same engine runs in both products, so the skills carry across. Many teams keep important queries in Excel workbooks, and those deserve the same care. We also help move such queries into Power BI or a dataflow when that makes them easier to share and refresh.
Should our Power Query logic move into a dataflow?
Sometimes. A dataflow prepares a table once in the service, and then several models reuse it. That helps when many reports need the same cleaned data. However, it adds another item to manage. So we recommend it only where reuse is real, and we explain the trade-off first.
Will you write M code by hand?
When it helps, yes. Most steps come from the editor's buttons, which keeps queries easy to follow. Still, custom functions, parameters and error handling often need hand-written M. We comment that code and keep it short, because your own analysts will maintain it after we leave.
Can faster queries replace a data warehouse?
Not really. Good queries make a modest setup run well. However, heavy history, many sources or complex rules belong in a database layer. We tell you when your queries have reached that point. Then the choice between tuning and a warehouse rests on facts instead of guesswork.
Who provides the service?
Power BI Agency does. We are a small team, a division of Sataware Technologies and independent of Microsoft. We deliver the service online, and we do not resell licenses. Call (480) 485-7373 or use the form, and we reply within 2 hours.
