Campaign performance

A Power BI campaign performance dashboard for every live flight

A Power BI campaign performance dashboard follows one campaign or flight from launch to finish against its own goal. It shows spend pacing, cost per result and how each creative and audience performed. Campaign managers use it to shift money inside the flight while there is still time. Our consultants build it in your own Microsoft tenant, from your ad, CRM and finance data.

  • Spend pacing per flight
  • Cost per result
  • Creative and audience results

What does a Power BI campaign performance dashboard compare?

A campaign has a start date, an end date, a budget and a goal. Within that window, the manager asks the same things each morning. Is spend on pace? Which creative earns results at a fair cost? Which audience deserves more money, and which should stop?

The page answers those for one campaign or flight at a time. Spend pacing compares money spent with the planned curve to date. Cost per result divides that spend by the outcome the campaign targets, such as a lead, a sign-up or a sale. Then each creative and audience gets its own row, so weak pieces stand out early.

Judging a flight against its own goal keeps the view fair, because a brand flight and a lead push should not compete on one number. For the whole-function view across channels and the yearly budget, see the power bi marketing dashboard instead. This page stays with the single campaign in flight.

Flight measures a campaign manager checks daily

Each one reads the campaign's own goal, so a result is always judged against what the flight set out to do.

Spend pacing

Spend to date sits beside the planned curve for the flight. So an underspend or a burst shows while the campaign still runs.

Cost per result

Spend divides by the outcome the campaign targets, counted in the CRM or store rather than taken from platform claims.

Creative results

Each ad or message shows its spend, reach and results. Then tired creative is visible before it drains the budget.

Audience results

Segments, placements and regions show their own cost per result, because one audience often carries the rest.

Result against goal

Progress toward the target shows beside the share of the flight already gone, so a slow start gets attention early.

Pipeline after the flight

Opportunities and revenue that trace to the campaign keep arriving later. Therefore the page keeps counting after the flight ends.

How is campaign data joined in a Power BI model?

A campaign table is the hinge. Every source must point to it. Ad platforms carry campaign names, the CRM carries a campaign or source field, and finance carries a cost code. However, those labels rarely match at the start.

So we build a mapping table that your team maintains. It ties each platform name, ad set and tracking code to one campaign and flight record. Consistent tracking codes on links make this far easier, and we suggest a naming pattern when none exists.

Sources arrive by different routes. Power Query has connectors for Salesforce and Google Analytics, among others. Some ad platforms need an API call or an export instead, which is where power bi data integration services come in. We confirm each route before the quote. Attribution then follows a stated rule, such as first touch or last touch, which the reader can switch.

Mistakes on a Power BI campaign performance dashboard

Decisions inside a flight go wrong when these creep in.

  • Judging a flight on its first few days
  • Pacing against an even daily split the plan never had
  • Counting platform conversions instead of CRM results
  • Ranking a brand flight and a lead push on one number
  • Leaving creative and audience codes unmapped
  • Stopping the count when the flight ends

How we build a Power BI campaign performance dashboard

Marketing and sales operations join a demo each week, since both own part of the data.

  1. List the live campaigns

First we list each running campaign and flight, with its budget, dates, goal and cost source.

  2. Create the campaign map

Next we build the mapping table and clean up names with your team.

  3. Model cost and results

Then we load spend, results, opportunities and revenue, and we check totals against finance and the CRM.

  4. Publish the flight pages

Finally we deliver pacing, creative and audience pages for each campaign, with a refresh schedule and access roles.

Campaign reporting in Power BI: questions from marketing

How often should the campaign view in Power BI refresh during a flight?

Daily suits most flights, because ad platforms settle spend and results with a short delay. As of October 2026, Pro allows up to eight scheduled refreshes a day and Premium Per User allows up to 48. Faster refresh rarely changes a decision. Bid changes within the hour still belong in the ad platform's own tools, while this page guides the daily call.

Can Power BI pull campaign performance data from ad platforms?

Often, though the route varies. Power Query lists many connectors, and other platforms expose an API or scheduled exports. We check each of your platforms during the assessment. When a direct route is missing, a small staging step gathers the files. You learn the approach for every source before work starts.

Why do platform numbers differ from the campaign figures in Power BI?

Platforms count conversions by their own windows and rules, and two platforms may both claim one lead. The model counts leads once, from the CRM. So its totals are usually lower and more defensible. We keep the platform figures available on a detail page, because marketers still need them for tuning.

Can finance trust the spend figures?

Yes, once we reconcile them. Platform spend covers media cost. Agency fees, tools and event costs come from the ledger. We load both and compare the total with marketing's ledger accounts for closed months. Then the page shows a full cost per campaign that finance recognizes.
