A Power BI inventory dashboard for buyers and warehouse leads
A Power BI inventory dashboard shows what you hold, where it sits and how long it will last at current demand. Buyers see which items need an order, while finance sees the value tied up on the shelves. The figures come from your ERP or warehouse system on a schedule. Our consultants build the model inside your own Microsoft tenant, so it remains yours.
- Days of cover per item
- Slow movers exposed
- Value by location

What does a Power BI inventory dashboard tell a buyer?
Stock is money that sits still. Too little of it loses sales, and too much of it ties up cash. So a buyer walks a narrow path every day, often with nothing more than an export and a hunch.
A clear page widens that path. It lists each item with its quantity, its recent demand and the days of cover that result. Items below their safety level rise to the top. Then the buyer works the list in order, instead of scanning thousands of rows.
Finance gets a different view of the same data. Stock value appears by category, site and age. Because old stock shows up plainly, write-down talks start with facts and happen earlier in the year.

Stock measures worth a place on the page
Six measures cover most needs, although a distributor and a manufacturer weigh them differently.
Quantity and value on hand
See units and value per item, category and location, so the balance sheet figure has detail behind it.
Days of cover
Divide stock by average daily demand. Then shortages and excess both become visible.
Stock turns
Compare cost of goods sold with average stock over a period, because slow turns signal trapped cash.
Stockouts
Count the items and days with nothing available, and also estimate the orders affected.
Aged and slow-moving stock
Group items by the time since their last sale or receipt. Dead lines then stand apart from seasonal ones.
Reorder suggestions
Flag items under their reorder point after open purchase orders, since stock already on its way counts too.
How does inventory data get into Power BI?
Three kinds of tables matter. Item master data describes each product. Balance data gives the quantity per location on a date. Movement data records each receipt, issue and transfer. Most ERP and warehouse systems hold all three.
History needs a decision. Many systems keep only the current balance, so last month's stock level is gone unless someone saved it. We therefore either rebuild past balances from movements or start storing a daily snapshot. The right choice depends on volume and on how clean the movements are. Our power bi data modeling work makes that call with you before the build.
Units and costs need care too. One item may sell by the piece and arrive by the case. When the cost method differs between sites, values stop adding up. So we settle units and cost rules before we total anything.
Frequent mistakes in a Power BI inventory dashboard
Any one of these can send a buyer in the wrong direction.
- Stock shown without demand for context
- Open purchase orders left out
- Units of measure mixed in one total
- Average demand skewed by a single spike
- No history to compare with last season
- Negative balances hidden by filters
How we build your Power BI inventory dashboard
We check the numbers against your ledger at each step, because trust depends on a match.
Free data review
In half an hour we look at your item and stock tables. Then we explain what a first version can show.
Rules and fixed quote
Cover, turns and aging each get a written formula. The quote then lists sites and sources.
Model and reconcile
We build the tables in your tenant and tie stock value back to the general ledger.
Weekly demos
Buyers try the pages on real reorder decisions each week. Finally we hand over files and notes.
Inventory reporting in Power BI: frequent questions
Can a Power BI inventory dashboard show live stock levels?
It can show near-current levels. Most teams refresh a few times a day, which suits buying decisions. For a live view, a direct query design reads the source database on demand, although pages then respond more slowly. Pickers on the warehouse floor should still rely on the warehouse system for the true bin quantity.
Will the Power BI inventory page cover several warehouses?
Yes. Location is a standard part of the model, so every measure works by site, zone or bin where your data has that detail. A buyer can view all warehouses together or one alone. Security roles can also limit a site manager to their own building.
Does a Power BI dashboard calculate reorder points?
Power BI can calculate simple reorder points from demand history and lead time with DAX measures. However, full replenishment planning belongs in your ERP or a planning tool. We usually show the ERP's own reorder settings beside actual demand. Then buyers see which settings no longer fit and update them at the source.
How do you handle items with seasonal demand?
We compare each item with the same period last year, as well as with recent weeks. A seasonal item then looks normal in its quiet months and does not show up as dead stock. This needs at least a year of history. So we check how far back your movement data goes.
Who builds the dashboard?
Consultants at Power BI Agency build it. We are a small division of Sataware Technologies and we are independent of Microsoft. The work is remote and takes place inside your tenant. You approve a written scope first. After that, you see progress at a demo every week.
