A Power BI lead generation dashboard sales and marketing share
A Power BI lead generation dashboard counts new leads by source and follows them through qualification to opportunity. It shows how many leads arrive, how good they are and how quickly sales responds. Marketing and sales read the same figures, which ends the monthly debate about lead quality. Our consultants build it in your own Microsoft tenant, on top of your CRM data.
- Leads by source
- Stage conversion
- Speed of follow-up

What should a Power BI lead generation dashboard track?
Volume is the obvious start. How many leads arrived this week, and from where? However, volume alone rewards the wrong work. A webinar list can flood the CRM with names that never answer a call.
So the page tracks what happens next. It shows how many leads sales accepted, how many became opportunities and how many closed. Then each source has a quality figure beside its count. Once a lead becomes an opportunity, sales pipeline analytics takes over the story.
Speed completes the picture. A lead that waits days for a first call cools off. Therefore the page measures time from creation to first contact. That figure often explains a weak conversion better than the lead source does.

Funnel measures that settle the lead quality debate
Both teams sign off on each definition before it goes live.
New leads by source
Counts per channel, campaign and form per week. So a sudden drop or spike has an address.
Qualified lead rate
The share of leads that meet your agreed criteria, because a common bar keeps the count honest.
Stage conversion
Lead to qualified, qualified to opportunity and opportunity to won. Then the weakest step is plain.
Response time
Hours from lead creation to first logged contact, by rep and by source.
Lead aging
Open leads grouped by days untouched. As a result, forgotten records get attention.
Rejected reasons
Why sales turned leads down, such as wrong size or no budget, while marketing uses that to tune targeting.
Where does lead data for a Power BI funnel come from?
The CRM is the main source. Power Query connects to Salesforce and to Dataverse, which sits under Dynamics 365. Other CRM products offer an API or an export. We read leads, contacts, opportunities and activities.
Stage history is the detail that matters most. A funnel needs to know when a lead changed status, not just its status today. Many CRM systems can track field history, yet the setting is often off. We check this first. When history is missing, we start capturing snapshots from day one.
Web forms and marketing tools add the source detail. Tracking codes on links tell the CRM which campaign produced a lead. When those fields are blank, the source reads as unknown. So we report the unknown share openly instead of spreading it across channels.
Pitfalls on a Power BI lead generation dashboard
Funnel reports lose trust fast when these show up.
- Counting duplicate leads as new demand
- Reporting volume with no quality measure
- Building a funnel from current status only
- Letting each team define qualified differently
- Ignoring leads with an unknown source
- Measuring response time from the wrong event
How we build a Power BI lead generation dashboard
Sales and marketing attend the same weekly demo, so disagreements surface in the room.
Agree the stages
First both teams define each funnel stage and what qualifies a lead.
Audit the CRM fields
Next we check source, status and history fields for gaps, and we list the fixes.
Model the funnel
Then we build measures for volume, conversion and response time, and we test them against CRM reports.
Share with both teams
Finally we publish one report, with row-level security where reps should see only their own leads.
Lead reporting in Power BI: questions teams ask
Which CRM systems work with a Power BI lead generation dashboard?
Any CRM that lets data out. Power Query has connectors for Salesforce and Dataverse, and the connector list covers more products. Others provide an API or scheduled exports. We confirm the route for your system during the assessment. The funnel design stays the same, whichever CRM holds the records.
Can Power BI show a lead generation funnel by stage?
Yes. Power BI includes a funnel chart that shows counts at each stage and the drop between them. We pair it with a table of conversion rates by source. A funnel built on stage history shows true flow over time. Without history, it can only show where leads sit today, and we label it that way.
How does the lead dashboard in Power BI measure response time?
It compares the lead's creation time with the first logged activity, such as a call or an email. That needs reps to log activities in the CRM, or an integration that logs them automatically. We also account for business hours if you wish, since a lead created on Saturday night should not count against Monday's team.
What about duplicate leads?
Duplicates inflate volume and hide conversion. We flag likely duplicates by email and company, and we count a person once in the measures. Cleaning the CRM itself remains your team's call. However, the report lists the suspected pairs, so that cleanup becomes a short task instead of a hunt.
