Revenue dashboards

A Power BI revenue dashboard that explains the growth

A Power BI revenue dashboard shows how much the business earned, where it came from and why it changed since the last period. It keeps bookings, billings and recognized revenue apart, because each one answers a different question. The model lives in your own Microsoft tenant, and a small team demos the work to you each week.

  • Bookings, billings, recognized
  • Price, volume and mix
  • New against existing

What should a Power BI revenue dashboard explain?

A total alone says little. Revenue rose, but was it price, volume or a new customer? Leaders ask that question every month, and finance often answers it by hand in a spreadsheet.

A good page answers it on screen. First it shows the trend against last year and against plan. Then a waterfall splits the change into its drivers, so the conversation moves from what happened to why.

Definitions matter as much as charts. Sales may count a signed order, while finance counts revenue only when the company has earned it. Therefore the page names each measure clearly and never blends the two in one figure.

Top-line measures and the question each one answers

Six measures give a full picture, although a subscription business leans on different ones than a distributor.

Recognized revenue

Report revenue in the period the business earned it, following your accounting policy. This figure ties to the income statement.

Bookings and billings

Show signed orders and issued invoices as separate measures, because they lead recognized revenue by weeks or months.

Growth against prior year

Compare each period with the same one a year earlier. Seasonal businesses read this more easily than month on month.

Price, volume and mix

Split the change into price effect, volume effect and the shift between products. Then pricing talks rest on numbers.

New and existing customers

Label revenue by whether the customer bought before. So you see if growth depends on new accounts.

Recurring revenue

For contracts, track monthly recurring revenue with new, expansion, contraction and lost amounts shown apart.

Which data and model does revenue analysis in Power BI need?

Invoice lines form the core fact table. Each line carries a date, a customer, a product, a quantity and an amount. Credit notes belong in the same table with a negative sign, otherwise the total overstates revenue.

Recognition adds a twist. When a contract spans a year, the invoice date and the earning period differ. So we either read the recognition schedule from your accounting system or build one from contract start and end dates. We do not guess the policy; finance supplies it.

Comparisons over time rely on a proper date table. DAX time intelligence functions, such as those for prior year and year to date, need one to work correctly. We also add your fiscal calendar there, since many companies do not close on calendar months. For harder measures, such as a driver split across fiscal periods, see power bi dax consulting.

Pitfalls in a Power BI revenue dashboard

These six errors cause most of the disputes between sales and finance over the top line.

  • Calling bookings and recognized revenue by one name
  • Leaving credit notes and returns out of the total
  • Reporting taxes or freight as revenue
  • Comparing a part month with a full prior month
  • Converting currency at one rate for the whole year
  • Counting a renamed customer as a new one

How we build your Power BI revenue dashboard

Each stage ends with a demo, so the definitions get settled before the design does.

  1. Settle the definitions

First sales and finance agree in writing what each measure means. This step prevents most later arguments.

  2. Model invoices and contracts

We load invoice lines, credit notes and any recognition schedule, then relate them to customer, product and date tables.

  3. Reconcile to the income statement

Next we match monthly revenue to your books. Any gap gets a named cause before we move on.

  4. Lay out the revenue story

Finally the pages go from trend to drivers to detail, and your team receives the file with notes.

Revenue reporting in Power BI: questions leaders ask

Can a Power BI revenue dashboard show recurring revenue?

Yes, when contract data exists. We need a start date, an end date and a value for each subscription or contract. From those the model works out monthly recurring revenue and its movements. However, if your system stores only invoices, we first agree a rule that turns them into monthly amounts.

How does the dashboard split price, volume and mix?

It compares each product's quantity and average price with the prior period. The volume effect holds price steady, and the price effect holds quantity steady. What remains is the shift between products. Several valid formulas exist, so we show you the one we use and keep it in a measure guide.

Will revenue in Power BI agree with our accounting system?

It should, and we test it. During the build we reconcile monthly totals to the income statement for a run of closed periods. Differences usually come from credit notes, manual journals or timing rules. Once we resolve them, a check figure on a hidden page flags any new gap after each refresh.

Can sales managers see only their own region?

Yes. Row-level security filters rows by role, so each manager opens the same report and sees their territory. The rule lives in the model and applies to viewers in the service. We store the manager and region pairs in a table, because territories change more often than reports do.

What does working with your team look like?

It starts with a free 30-minute assessment. Then you get a written, fixed scope. After you approve it, we work online inside your tenant and demo every week.
