Sales dashboards

A Power BI sales dashboard your reps and leaders both trust

A Power BI sales dashboard is a single page that shows booked revenue and orders against target, split by rep, region and product. Sales leaders use it to see where the quarter stands today, while reps use it to check their own numbers. Our consultants build it inside your own Microsoft tenant. Because CRM and invoice data join properly, the totals match what finance reports.

  • Revenue against target
  • Orders by rep and region
  • Matches finance totals

What does a Power BI sales dashboard show?

A good sales page answers three questions fast. Where do we stand against target? Which regions and products carry the result? Who needs help? Everything else is detail, and detail belongs one click deeper.

So the top row usually holds a few large figures: revenue to date, target, gap and order count. Below that, a trend line shows the pace across the period. Then a breakdown by rep, region or product explains where the gap comes from.

This page reports results already booked. Open opportunities and stage conversion are a separate question, which sales pipeline analytics answers. Filters matter here too. A sales manager wants to switch from the whole team to one person in a single click. Because the measures live in the model, every figure on the page follows that choice together.

Measures that belong on a sales page

These six cover most teams, but we agree each definition with you before we build it.

Revenue against target

Closed revenue sits beside the target for the same period, so the gap is never a matter of opinion.

Orders and order value

Count orders and their average value by period. Then leaders see whether growth came from more orders or bigger ones.

Revenue by region

Split booked revenue by region and territory, because a strong total can hide one weak area.

Product mix

Show which products and categories make up revenue, and also how the mix shifts over time.

Rep attainment

Rank each rep's booked revenue against their own target. Coaching then starts from facts.

Year-over-year growth

Compare this period with the same period last year, since seasonality misleads a month-on-month view.

Which data does a sales dashboard in Power BI need?

The CRM and the order system are the main sources. They hold accounts, orders, owners and regions. A Power BI Salesforce integration reads Salesforce objects through Microsoft's connector. For Dynamics 365, the Power BI Dynamics 365 integration uses Dataverse. Teams on HubSpot can follow the Power BI HubSpot integration route instead.

Invoices come next. CRM deals show what sales expects, while the accounting system shows what customers paid for. Both views matter, but they must not blur. Therefore we keep bookings and invoiced revenue as separate, clearly named measures.

Targets are the third piece. They often live in a spreadsheet by rep and month. That is fine, as long as one person owns the file and its layout stays stable.

Common mistakes in a Power BI sales dashboard

A common pattern is a page that looks busy but answers nothing, so check yours against this list.

  • Too many visuals crowd the first page
  • Bookings and invoices share one vague total
  • Targets are missing or out of date
  • Returns and credits left out of revenue
  • Each rep filters a private copy
  • Date logic breaks at fiscal year end

How we build your Power BI sales dashboard

Four steps take you from a CRM export habit to a page that refreshes itself.

  1. Free assessment

We look at your CRM and current reports for thirty minutes. Then we tell you what a first version should hold.

  2. Definitions and quote

Booked, invoiced, returned and target each get a written rule. The quote then fixes the scope.

  3. Model before visuals

We link orders, accounts, reps, products and dates first, because a sound model makes every page simple.

  4. Weekly demos

Sales leaders review live pages each week. Afterwards we hand over the files and train an owner.

Sales reporting in Power BI: common questions

How often does a Power BI sales dashboard refresh?

Most teams refresh several times a day or once overnight. The right schedule depends on how fast deals move and on the license you hold, since Microsoft sets refresh limits per license type. We agree the timing in the scope. If leaders need near real-time figures, we discuss a direct query design instead.

Can each rep see only their own deals in Power BI?

Yes. Row-level security filters the model by the signed-in user. So a rep sees their own accounts, a manager sees the team and a director sees everything. We define the rules once in the model. As a result, they apply to every page and export without extra work.

Should a sales dashboard replace CRM reports?

Not fully. CRM list views remain best for working deals one by one. A dashboard adds what the CRM lacks: targets, invoice data, trends over years and a consistent layout. Many teams therefore keep both. Reps update records in the CRM, and then everyone reads performance in Power BI.

Can the Power BI sales page compare this year with last year?

Yes. A proper date table, marked in the model, lets each measure return the same period last year. So a page shows this quarter beside last year's quarter, by rep, region or product. When your fiscal year does not start in January, the date table holds those fiscal periods too.

Who builds it, and where does the file live?

Consultants from Power BI Agency build it, remotely. We are a division of Sataware Technologies and independent of Microsoft. The report and model sit in your own tenant from the first day. When the work ends, you keep everything, along with notes that explain each measure.
