Power BI for professional services firms that sell time
Power BI for professional services gives a firm one view of time, billing, margin and pipeline. Hours from the timesheet tool meet invoices from the ledger and deals from the CRM. Partners then see which projects earn money and which ones quietly lose it. Our consultants build the model inside your own Microsoft tenant, and your team keeps every file.
- Utilization by person
- Margin per project
- Capacity against pipeline

What does Power BI for professional services measure?
A services firm sells hours, skill and trust. So its health depends on a few plain questions. How busy are people? How much of their time reaches an invoice? Which clients and projects leave a margin after cost?
Most firms can answer these, but only slowly. Time sits in one tool, rates in another and invoices in the ledger. An operations lead then joins them in Excel after month end. By that point, an overrun project has already burned its budget.
A joined model shortens the delay. It loads time entries daily and compares them with the budget for each project. As a result, a project manager sees the burn while there is still room to act. Partners also get one agreed figure for utilization, instead of three.

Dashboards a consulting or services firm relies on
These pages suit consultancies, agencies, architects, engineers and accountants, although the labels differ.
Utilization
Compare billable hours with available hours by person, team and month, so leaders spot both overload and bench time.
Realization
See how much worked time turned into billed revenue. Then find where write-offs cluster.
Project margin
Revenue, labor cost and expenses line up per project, because a busy project can still lose money.
Work in progress
Unbilled time and expenses appear by client and age, so billing runs chase the oldest balances first.
Pipeline and backlog
Open deals sit beside signed work. Resourcing leads also see which skills the next quarter needs.
Client profitability
Rank clients by margin over time, since the largest account is not always the best one.
Which sources feed a services firm's Power BI model?
Four sources cover most firms. The time or project tool holds hours and budgets. Invoices and cost sit in the accounting system. Meanwhile the CRM holds the pipeline. HR or payroll holds cost rates and capacity.
Many of these are cloud products, and several have connectors on Microsoft's list. Others need an API call or an export. We check each product by name during the assessment, so the quote states the true route. When two tools disagree on a client name, we also add a mapping table.
Cost rates deserve thought. Salary data is sensitive, so many firms use a standard rate per grade instead. That keeps margin reports useful while individual pay stays private. Firms with several tools gain the most from power bi data modeling, which settles one project key for all of them.
Signs a firm needs Power BI for professional services
Growth makes each of these worse, because every new hire adds rows to every spreadsheet.
- Utilization figures differ by who you ask
- Project overruns show up after the invoice
- Unbilled work sits for months unnoticed
- Resourcing relies on a shared spreadsheet
- Partners wait weeks for month-end numbers
- Nobody knows true margin by client

Professional services reporting in Power BI: FAQ
Does Power BI for a consultancy replace our PSA tool?
No. Your time and project tool remains the place where people log hours and managers set budgets. Power BI reads that data and joins it with finance and sales. So it adds analysis that a single tool rarely offers, such as margin by client across several years, without changing anyone's daily routine.
Can Power BI show utilization by person?
Yes. The model compares each person's billable hours with their available hours, after leave and holidays. You decide the target for each grade. Then a page shows results by person, team or office. Row-level security can also limit the view, so a team lead sees only their own people.
How do you protect salary data in the model?
We agree the approach with you first. Many firms load a standard cost rate per grade instead of real pay, which hides individual salaries. Others load real cost but restrict it to partners through security roles. Either way, we work inside your tenant and do not copy data to our own systems, while your administrators control access.
Is a services firm Power BI project a large commitment?
It does not have to be. A first phase often covers utilization and project margin only. Once those pages earn trust, firms add pipeline, work in progress and client views. We fix each phase in a written quote, so you approve one known piece of work at a time.
Where is your team, and how do we reach it?
We deliver remotely, over video calls and screen share inside your own Microsoft tenant. Power BI Agency is a small team within Sataware Technologies, and it has no tie to Microsoft. You can call (480) 485-7373 or use the contact form. We then reply within 2 hours.
