Power BI Facebook Ads integration for paid social results
Power BI Facebook Ads integration puts campaign spend, reach and results from Meta's ad platform next to the rest of your marketing data. Microsoft's connector list has no Facebook Ads entry, so there is no built-in button for it. Instead, the data comes through Meta's Marketing API, a scheduled export or a staging table. Each route works, but each one asks for different upkeep.
- Marketing API route
- Tokens that last
- Spend beside results

How does Power BI Facebook Ads integration pull campaign data?
Meta exposes ad results through its Marketing API. Power BI can call a web API with the Web connector, which Microsoft documents. So a query can request insights for an ad account and receive JSON in return.
That direct call suits small setups. However, it puts paging, tokens and error handling inside Power Query, where they are hard to watch. Therefore many teams prefer a small job that calls the API and writes rows to a database.
Exports are the third path. Ads Manager can schedule a report and send a file. Then Power BI reads the file from a shared folder. It is simple, but someone must notice when the email stops.

Three things that break paid social reports
We plan for these from the first day, because each one fails silently.
Expiring tokens
A token tied to a person's login stops working sooner or later. So we use a token that belongs to a system user instead.
API version changes
Meta retires API versions on a schedule. As a result, a query that names an old version will one day return an error.
Attribution settings
Results depend on the attribution window. Therefore the model must state which window each figure uses.
Which level of detail should the model store?
The API can return data by account, campaign, ad set or ad. It can also split results by age, placement or device. But every extra split multiplies the rows, and some metrics do not add up across splits.
Reach is the classic example. A person who sees two ads counts once for the campaign. So adding reach across ads overstates the audience. We load reach at the level where you will read it and avoid summing it.
Daily rows per ad are usually the useful grain. Then spend, clicks and results roll up cleanly. Also, a separate small table holds breakdowns for the pages that need them. The model can then feed a Power BI social media dashboard.
Measures in a Power BI Facebook Ads integration
These are the figures marketing teams ask us for most often.
- Spend by campaign and day
- Impressions and link clicks
- Cost per result by objective
- Results by ad creative
- Spend against budget for the month
- Leads matched to CRM records
Our Power BI Facebook Ads integration steps
The work follows four stages, and a demo at the end of each week shows progress.
Check access
First we confirm who administers the ad accounts and what access a reporting user can hold.
Settle the route
Then we agree on the API, a staging job or exports. The written quote records the decision and the pages.
Load and compare
We build the load and the model in your own tenant, and we compare totals with Ads Manager.
Hand over the keys
Finally, your team learns where the token lives and how to renew it, so reporting does not stop unnoticed.
Questions about Facebook Ads data in Power BI
Does Power BI have a native Facebook Ads connector?
We do not find one in Microsoft's Power Query connector list. So we do not describe any built-in option. The honest routes are Meta's Marketing API through the Web connector, a scheduled export, a staging database or a third-party connector. We explain the trade-offs of each during the free assessment call.
Does this cover Instagram ads as well?
Yes, in practice. Ads on Instagram run through the same Meta ad accounts, and the API reports them with a placement or platform breakdown. Therefore one load can cover both. We add a platform column to the model, so a page can compare the two without a second source.
Why does Power BI show different numbers from Ads Manager?
Usually because of timing or settings. Meta updates recent days as results come in, so an old load falls behind. Also, time zone and attribution settings change totals. We reload a recent window on every refresh and document the settings, and then the two screens agree within a known margin.
Can Facebook Ads and Google Ads share one Power BI report?
Yes. We build one marketing model with a shared campaign table and a channel column. Then spend and results from each platform land in one fact table. However, the platforms define metrics differently, so we label each measure clearly and avoid blending figures that mean different things.
Who is behind Power BI Agency?
Power BI Agency is a division of Sataware Technologies. We are independent of Microsoft and have no partnership with Meta. A small team delivers the work online. Call (480) 485-7373 or write to us, and we reply within 2 hours.
